What we collect
Depending on how you use the service, we may collect:
- Your name, email address, telephone number and communication preferences.
- Event details such as date, venue address, guest numbers, service times, selected drinks, access information and the services requested.
- Quote, booking, invoice and payment-reference information. Card details are handled by the payment provider and are not stored in the Cocktailhire checkout.
- Messages, call requests, documents and changes you send in connection with an enquiry or booking.
- Technical and attribution information such as page route, campaign parameters, browser or device information, cookie choices and website events where permitted.
- If you request the optional planning guide: your email address, the wording shown when you consented, source, request and confirmation times, message status, unsubscribe status and tagged-link interactions.
How and why we use it
We use enquiry and event information to answer questions, calculate and provide a quote, check availability, prepare the selected service, process a booking, provide event paperwork, communicate changes and deliver the contract. The usual lawful bases are taking steps at your request before a contract and performing a contract.
We use payment, invoice and accounting records to collect payment, reconcile bookings, meet tax and accounting duties and prevent fraud. The usual lawful bases are contract, legal obligation and our legitimate interests in protecting the business and customers.
We may use limited website and enquiry information to understand which pages and campaigns produce genuine enquiries, improve the booking journey, diagnose faults and protect the service. We rely on consent where the law requires it for cookies or similar storage, and otherwise on our legitimate interests after considering your rights.
We do not sell personal information and we do not use enquiry or booking addresses for unrelated email marketing without a valid permission.
The optional planning guide
The five-part event-bar planning guide is optional marketing by email. It is separate from a quote or booking, the checkbox is empty by default and refusal has no effect on the service. If you choose it, we first send a confirmation link. The sequence does not start until that link is used.
Consent is the lawful basis for this sequence. Every guide message identifies Cocktailhire and includes a one-click unsubscribe link and a reply address. An unsubscribe takes effect immediately and the address is retained on a suppression list so it is not added again by mistake. No existing customer list, purchased list or publicly found address is imported into the sequence.
The guide records link clicks needed to understand whether a message assists an enquiry or booking. It does not include an email tracking pixel. You can withdraw consent at any time without affecting earlier lawful processing or any transactional message needed for a quote or booking.
How long we keep it
We keep information only for as long as it is needed for the purpose collected, security, disputes and legal duties. As a working guide:
- Unsuccessful enquiry and quote records are normally reviewed for deletion or anonymisation after 24 months.
- Booking, invoice, payment and accounting records are normally kept for up to seven years after the relevant financial year or longer where a dispute or legal duty requires it.
- Planning-guide consent and delivery evidence is normally kept for six years after the last message so we can demonstrate the permission relied on.
- Suppression information is kept for as long as reasonably necessary to respect the unsubscribe request.
- Operational logs and measurement data are kept for the shortest period needed for security, fault finding and performance reporting, then deleted or aggregated.
Your rights
Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, portability or an objection to processing. Where processing relies on consent, you may withdraw it at any time. You also have the right to object to direct marketing at any time.
We may need to confirm your identity before acting on a request. Some rights have legal limits, for example where records must be retained for tax, contract or legal-claim purposes.

We may update this notice when the service, providers or law changes. The date at the top shows the latest published version. Material changes affecting an active permission will be explained before we rely on them.
