Conference, exhibitor and reception drinks | Oxford

Conference and reception drinks at Saïd Business School, Park End Street

A conference at Park End Street may move from presentations to exhibitor conversations and then a drinks reception. Each part needs its own space and timing. The right drinks plan starts with your actual booking, not an assumption that every event has a numbered stand or a free choice of bar supplier.

Cocktailhire is independent of Saïd Business School. We can discuss an outside staffed bar only if the school and your event organiser approve it for the booked room or exhibitor area. Check the existing catering arrangement first; we cannot confirm a separate drinks service from the venue name alone.

If approval is possible, send the event date, booked spaces, floor plan, expected guests and service window. We can then assess a staffed counter or mobile bar around the delegate route and the agreed venue conditions.

Venue planning note

An exhibitor hall is event-specific

The University of Oxford's November 2026 entrepreneurship forum names Saïd Business School, Park End Street as its venue and includes an exhibitor hall followed by networking drinks. That is a useful example of how one Oxford programme uses the building. It does not prove the same space, layout or drinks permissions apply to another event.

Ask your organiser and the school's conference team to identify the booked area, existing food-and-drink service and any restrictions on outside suppliers. For an exhibitor-led reception, also confirm the stand or shared-area position, visitor route, access and glassware arrangements before a bar is designed.

During the event

Make room for the conversation

At an exhibitor event, drinks can give guests a natural place to pause, but the counter must not obstruct registration, circulation or the exhibitor area. A reception after the final session needs a different tempo: guests should find the service easily while organisers remain free to host them.

We plan staffing and service around the approved floor plan and programme. An existing counter may be enough; a mobile bar is an option only where the school permits its position, delivery and operation.

What to settle first

Permission before the bar layout

Get the school's and organiser's decision on outside drinks, catering coordination and the exact service area. If those conditions cannot be met, the school's own catering route should be used.

Drinks and glassware

Choose drinks from the existing menu

You choose drinks from the existing Cocktailhire menu, and the event menu is built from those selections. Bartenders, ingredients, glassware and any mobile bar are scoped against the approved event plan, rather than presumed included or permitted by the school booking.

Next step

Send the actual programme

Share the date, event format, booked spaces, floor plan, guest numbers, service window and what the school and organiser have said about outside drinks. We can then give a clear answer on the useful and permitted service setup.

Frequently asked questions

Planning conference drinks at Park End Street

Can Cocktailhire provide drinks at Saïd Business School, Park End Street?

Only if the school and your event organiser approve an outside drinks supplier for the booked space and service window. Cocktailhire is independent of Saïd Business School; the venue booking alone does not grant outside-bar permission.

Does the school have an exhibitor hall?

A University of Oxford event scheduled for November 2026 lists an exhibitor hall and networking drinks at Park End Street. That shows one event format, not an exhibitor hall or outside-bar right for every booking. Confirm your own event floor plan with the organiser.

What should we settle before an exhibitor drinks point?

Ask the organiser and school which area is booked, who controls catering and drinks, whether an outside supplier is permitted, and what access, service hours and glassware rules apply. Then share the floor plan and expected guest flow with us.

Could this suit a conference reception instead?

Yes, if an outside service is approved. The useful plan depends on when delegates leave sessions, where the reception is booked and whether the school already has drinks arranged. A staffed counter or mobile bar should be scoped for that approved space.

How is the cocktail menu chosen?

You choose drinks from the existing Cocktailhire menu. The event menu is built from those selections, subject to the approved service plan.
