Access determines which bar configuration can be delivered and how long setup needs. Loading slots, goods lifts, security checks and long routes through a hall can matter as much as the size of the bar itself.
Plan backwards from the ready-to-serve time
Give the bar team the delivery entrance, booked unloading slot, parking arrangements and any passes or induction requirements. Include lift dimensions, loading limits and the narrowest doors on the route where these are relevant.
Then allow time to position the bar, move supplies, organise glassware and prepare the service area. Do not use the guest arrival time as the supplier arrival time. An exhibition's restricted build and breakdown windows should be part of the accepted schedule.
- Tell the team about shared lifts and other suppliers using the same loading bay.
- Agree the breakdown and vehicle collection route as well as the arrival route.
