How Do You Handle Press Vip and General Guest Drinks at the Same Event

Decide whether the groups need different service times or locations, rather than assuming each label requires a separate bar. Where drinks entitlements differ, the organiser must give the bar team a clear, practical way to apply them.

Keep the distinction easy for guests and staff to understand

Share the attendance, arrival windows and rooms for each group. A press preview followed by the main reception may use the same bar at different times; simultaneous areas may need separate staffing and stock positions.

Agree the selected drinks, supplies and responsibility for guest admission or identification. Bartenders should not be left to guess who belongs to a group or negotiate access at the counter. Keep any guest information limited to what the agreed service actually requires, and confirm how changes are communicated by the event lead.

  • Map each group's service period and position.
  • Assign guest admission to the appointed event team.

Coordinate launch guest groups and bar service.
