How Do You Plan Cocktails for a Delegate Networking Reception

Plan for the first wave, not only the total attendance.

A delegate networking reception should be planned around when people reach the bar, how long the reception lasts and what the venue is supplying. The registration total is useful, but it does not show whether guests will arrive together after a conference session, move through the room gradually or leave for dinner after a short drinks window. Those movements determine the service pressure.

Put these numbers in the service brief

  • Total registered delegates and the realistic attendance estimate.
  • The expected opening wave and the busiest thirty-minute period.
  • Reception start, finish and any stage, speech or awards timings.

A smaller, clearly chosen drinks list is easier for guests to understand and easier for the bar team to produce consistently during a concentrated arrival. Match the booking to what the venue is providing
