Build the bar plan around arrivals, media moments and the event schedule.

A VIP and press reception often places its heaviest drinks demand into a short arrival window. The service plan should show when the guest list opens, when photography or interviews begin, when a reveal or speech takes place and whether guests move to another room afterwards. Those timings matter more than treating the total attendance as evenly spread across the evening.

Choose a short, recognisable event menu

Select the drinks from the existing Cocktailhire menu and confirm an alcohol-free choice. A focused list helps guests decide quickly and lets the bar team prepare for the first wave. Record the expected number of arrivals in the busiest thirty minutes, not only the final guest count. If drinks are to be presented on arrival, state the quantity and the exact handover time so the remainder of the bar can stay ready for direct orders.

Protect the press and programme areas

  • Place the service point away from interview audio, guest-list queues and primary camera lines.
  • Confirm whether trays, glass collection or staff movement must pause during speeches or filming.
  • Keep press, talent and guest areas separate only when the organiser has defined the access rules.
  • Name the person authorised to change timings or move drinks between areas.

The brief should also say who provides the physical bar, staff, ingredients, ice, glassware, refrigeration, water, power and waste route. If the venue already supplies a suitable service point and stock, staffing may be enough. If the room needs a complete installation, the bar position, frontage and access route should be agreed before arrival.
