Keep registration, coats, photographs and drinks from becoming one queue. The event team needs a clear handover from check-in to the reception, with the bar fully ready before guests reach it.
Give arrivals a simple route through the room
Show the bar team the entry route and expected arrival pattern. Confirm any access restrictions, welcome-drink timing and areas reserved for talent or press. A guestlist does not mean guests will arrive evenly.
Match staff and supplies to the likely concentrated demand. Keep replenishment and used-glass collection away from check-in, and agree who gives any delayed-start instruction. If entry is held and then a group is released together, tell the bar team promptly so it can respond to the changed serving pattern.
- Keep the bar approach separate from registration and photography.
- Give the bar team a contact for arrival changes.
