Set arrival by working backwards from the time the bar must be ready, allowing for unloading, access, setup and preparation. Do not use guest-arrival time as the team's arrival time or assume every launch needs the same setup allowance.
Fit the bar into the production schedule
Give the team the loading entrance, access slot, room availability and press or guest opening time. A frontage requiring assembly or agreed artwork needs a different sequence from staff using an existing prepared bar.
Include sound checks, product installation and photography if they restrict movement through the room. Confirm where stock and packaging can be kept and who releases the space for setup. The agreed booking should distinguish preparation, serving hours and collection, with a named contact for delays.
