What Is the Right Staffing Plan for a Vip Reception Inside a Conference Centre

Start with Cocktailhire's one-bartender-per-50-guests planning ratio, then define the reception's actual duties. A private lounge, tray delivery or a short arrival window can require a different arrangement from guests ordering steadily at one bar.

Separate cocktail production from hosting and delivery

Use the full guest count and tell the team whether guests arrive from a single session. Decide if drinks are ordered at the bar, offered on trays or delivered to tables, and identify who handles the latter duties.

The venue may provide lounge hosts, security, wine service or clearing, but those roles need confirmation. Bartenders should not be assumed to manage guest check-in or leave the bar repeatedly to collect glasses. Give the lead the schedule, selected drinks, replenishment route and the organiser's contact.

  • List serving, carrying, hosting and clearing responsibilities.
  • Confirm the lounge's access and busiest service period.

Plan bartender numbers and service duties.
