What Should a Pr Team Confirm Before Booking the Bar

Confirm the guest count, run sheet, service requirements and approval responsibilities. The PR team should know what will arrive, what guests can order and which practical tasks still belong to the venue or another supplier.

Turn the event brief into a clear booking

Share the address, rooms, arrival pattern, press or reveal timings, service hours and access arrangements. Decide whether the booking needs bartenders, a mobile bar or the complete cocktail package.

List the selected drinks, supplies, clearing duties and any branded frontage. If photography, filming or reporting is required, specify the deliverables and permissions separately rather than assuming they come with every bar booking.

  • Name the person approving artwork, menu presentation and on-the-day changes.
  • Check that the written quote matches the final guest count, schedule and agreed inclusions.
