What Should Be Included in a Written Plan for a Conference Venue Bar Event

The plan should join the event schedule, service requirements and venue responsibilities.

A conference venue bar plan should let the organiser, venue and bar team see the same operating picture. It needs the event date, room, realistic attendance, service start and finish, supplier arrival time and the deadline for a complete setup. It should also show the sessions, speeches, awards, room turns or delegate movements that create a concentrated arrival at the bar.

Define the service being supplied

  • State whether the booking is for bartenders, a staffed mobile bar or an all-in-one package.
  • List the drinks selected from the existing Cocktailhire menu and identify the alcohol-free choice.
  • Record the expected first wave and busiest thirty-minute period.
  • Show each service point, its approximate footprint and the direction guests will approach it.

The plan should not use the phrase bar service as a catch-all. It should identify who supplies ingredients, ice, glassware, garnishes, refrigeration, bar equipment and consumables. If the venue is supplying part of that list, record the quantities, delivery position and person responsible for confirming it is ready.

Add the venue operating detail

  • Loading bay, parking, lift, corridor and security arrangements.
  • Power, potable water, drainage, storage and waste access.
  • Floor protection, fire routes, restricted areas and room-clearance times.
  • Glass collection, clearing responsibilities and the de-rig route.

Finally, name the conference organiser, venue duty manager and bar lead. The document should say who may change service times, approve a move or pause the bar for the programme. Revisions should remain in one written chain so an old guest count or room plan is not used on the day.
