When Should a Venue Use External Drinks Specialists Instead of in House Staffing

Use outside specialists when the event needs cocktail capacity or a service format the existing team is not assigned to provide. Keep the in-house arrangement when it already covers the brief well; bringing in another supplier is not automatically an improvement.

Identify the missing task before adding people

A concentrated reception, separate cocktail station or performance requirement may justify a dedicated team. Start with the guest count, drinks choice and busiest period, then identify what the venue's staff will continue to do.

Outside bartenders still need a workable bar, supplies and clear instructions. Agree the division of stock, wine service, cocktail production and clearing rather than placing another team behind an already crowded bar. The event contract and supplier arrangements also need to support the proposed setup.

  • Explain the extra capability or capacity the event actually needs.
  • Confirm which duties remain with the in-house team.
