Pre Event Bar Setup Checklist for Private Hosts

Have the space ready so you can get on with your party.

The useful pre-event checks are the ones that stop you being called away from your guests. Before the team arrives, make sure the agreed bar position can be reached, the space is clear and the supplies are with the person responsible for them.

Access and working space

  • Confirm the unloading point and keep the route to the bar clear.
  • Tell us about stairs, narrow doors or changes since the booking.
  • Leave working room behind the bar, not just a gap for the frontage.
  • Confirm the agreed water, power, storage and waste arrangements.
  • Keep guest routes and exits unobstructed.

Drinks and supplies

For staff-only hire, check the booking shopping list and the agreed arrangements for ice and glassware. Do not assume a general drinks calculator replaces the quantities for your selected cocktails. Timings and decisions

  • Keep supplier access separate from the time cocktails start.
  • Record dinner, speeches or a planned room change.
  • Give one event contact who can answer practical questions.
  • Tell us if the real guest number has increased.

If rain changes a garden party's layout, contact the team before moving furniture into the planned working area. A fallback is easier to agree before setup than when guests are arriving.
