What Access Details Matter Before Wedding Bar Setup

Show us the route the equipment will actually take.

The useful access details are the unloading point, carrying distance, doors, stairs or lift, and the time the team can enter the room. Confirm these before booking; a spacious ballroom does not guarantee an easy route into it.

Photographs and measurements of the narrowest sections are more useful than the venue's overall capacity. Include tight turns, landings, temporary paths and any limits on delivery times. Tell us if the room is occupied by another event or still being dressed when the team is expected to set up.

A practical example

If a lift is shared with caterers during a short load-in window, the plan should account for that access rather than assuming the lift will be waiting for the bar team. Collection access needs the same attention at the end of the night.

What to confirm for your wedding

  • Unloading location and route photographs
  • Door, stair and lift measurements where relevant
  • Named venue contact and setup/collection windows
