Event and service brief

Record the event date, venue postcode, guest count and service hours. Include the running order, peak arrivals, presentations and any separate rooms or floors. Identify the organiser and on-site decision-maker.

Floor plan and delivery

Mark bar positions and guest routes. Send usable doors, lift dimensions, stairs, loading slots and removal times. Straight bars need 1.5m working depth; horseshoes 2.5m; the full island 5.5m by 3.5m. Confirm the power supply needed for your selected illuminated equipment.

Menu and supplies

Choose from the existing Cocktailhire menu. Allocate drinks ingredients, ice, glasses, storage, replenishment and clearing duties. Confirm whether you want staff only, a staffed mobile bar or a stocked package.

Branding and production deadlines

Provide bar-front artwork, dimensions and sign-off dates where branding is booked. Event menus display your chosen drinks. Confirm the agreed print and installation cost, any venue restrictions and the person approving final artwork.

Documents and permissions

Send the venue’s current insurance, risk-assessment, method-statement and supplier requirements for review. Confirm who is responsible for any licensing or permission needed for the event. Match the actual documents and arrangements to the venue rather than assuming a cover amount or permission from a generic checklist.

Final handover

Check the quote and event sheet for staff, hours, bars, supplies, travel and extras. Confirm the arrival contact, preparation window and removal route. Agree any reporting or additional staff duties before service.
