Private Event Bar Risk and Compliance Guide

Agree the practical responsibilities before drinks service begins.

You do not need a pile of vague assurances. You need to know who is responsible for the bar's access, working space, drinks arrangements and emergency information. Write those points into the event plan and resolve anything uncertain before the team is due to serve.

Check the actual drinks arrangement

In England and Wales, a Temporary Event Notice may be needed for licensable activities on unlicensed premises or activities outside an existing licence's terms. A licence attached to a building is not proof that every proposed arrangement is covered. Check the official GOV.UK Temporary Event Notice guidance and confirm the position with the relevant licensing authority. That guidance is for England and Wales; do not apply it automatically to Scotland or Northern Ireland.

Keep the physical checks practical

  • Safe unloading and a clear route during setup and pack-down.
  • A suitable bar position without obstructed exits or trailing hazards.
  • Agreed water, power, storage and waste arrangements.
  • Information about first aid, emergencies and the event contact.
  • A weather plan where outdoor service is proposed.
