Your caterer has a dinner to deliver. They should not also be finding ice, moving glasses or deciding who opens the bar as guests arrive. Production friendly mobile bar hire starts by agreeing how the bar team will work alongside the catering team.

Tell us who is leading the event, when the reception starts, when food is served and whether cocktails continue after dinner. Agree which team supplies the drinks, ice and glassware, and where each team will work. Those decisions belong in the brief, not in a conversation across a busy service counter.

Cocktailhire can supply the mobile bar and the booked bar staff while the caterer retains food service. If ingredients, ice or glassware are also required from us, include them in the enquiry. Your written quote confirms who supplies each part; hiring a bar alone does not include the full drinks package.

How does the bar team work alongside the caterer?

Start with one named event lead and a shared running order. Separate bar service from food service, agree the supply list and identify who will communicate timing changes on the day. Both teams then know where their work starts and finishes.

  • Confirm arrival drinks, dinner, speeches and the final service time.
  • List who supplies stock, ice and glassware, including where they will be ready.
  • Agree bar position, shared routes and who handles glass collection.

When to book this

Use this service when the caterer is handling the meal but the event needs a separate working bar and bar team. If an equipped bar is already available, staff-only hire may be enough. If you also want us to bring the drinks ingredients, ask for that supply to be included rather than assuming it comes with the bar.

What caterers, planners and organisers usually want answered before they book

Who leads the bar team during a catered event?

Agree one named event lead and a contact for the bar team before the day. The shared running order should show when drinks are served and who communicates changes. The booked responsibilities remain distinct: bar service does not automatically include food service or glass collection.

Does mobile bar hire include drinks ingredients?

Not by itself. The written quote confirms the bar, staffing and any ingredients, ice or glassware Cocktailhire will supply. With staff-only hire, the client buys ingredients from our shopping list. With an all-in-one package, Cocktailhire supplies the agreed ingredients; the optional itinerary is a record of our supplies, not a shopping task.

How many bartenders should we allow for 100 guests?

Our usual starting point is two bartenders for 100 guests, using one bartender per 50 guests. Tell us if guests arrive together, which drinks they will order and when food service takes place. The full guest count stays in the brief; reducing it is not a way to make an undersized service work.

What if cocktails pause during dinner or speeches?

Show the intended service periods in the enquiry, including the restart time and any change of room. A gap in the running order is not automatically a reduction in booked staffing hours. Your written quote confirms the service arrangement before you book.
